Position Overview The Setup and Construction Design Assistant works collaboratively with Heirlooms Construction and SetUp Design departments, supporting the Senior Design Manager, Design Managers, and Associates throughout the design process. The role focuses on sourcing construction materials, fixture & finish specifications, furniture, and art, and on updating the construction selections standards library. Design projects include single family homes, boutique hotels, inns, B&B, and hostels. Project locations vary depending on the development pipeline. Essential Functions Manage the production of design drawings including floor plans, interior elevations, and details. Construction Administration: Submittals, shop drawings, ID sets, CFAs. Source design and brand‑consistent lighting, plumbing fixtures, finishes, furniture, décor, art, and accessory selections. Work with the Procurement team on the process of placing, tracking, receiving orders, and managing returns. Manage project organization: budget updates, project updates/communications, maintaining project specifications. Manage budget development and tracking. Develop and maintain project management processes and standards. Actively participate in establishing project milestone deadlines and ensuring all deadlines are accomplished and/or on track. Ensure all project boards are up to date. Work collaboratively with design and construction to develop and implement a construction finish library—including cataloging FF&E selections for current and previous projects. Complete billable hours and business expense submissions in accordance with company policy. Manage, own, and execute design revisions as needed. Explore and implement possible FF&E trade and/or bulk discounts. Ensure design provides the Operations Team with adequate remote support during initial phases of installations in other parts of the country as needed. Qualifications Creative, process‑minded team member with meticulous attention to detail. Ownership mentality, commitment to excellence, and intuitive thinking. Fluent in English. Proficient in Bluebeam or a PDF editor, Microsoft Office Suite, and Google Office Applications. Proficiency in AutoCAD is required. Hospitality experience preferred (combination of commercial and residential portfolio accepted). Exceptional aesthetic taste. Minimum 3 years of interior design work experience: design concept creation, sourcing, and project management. Highly organized with exemplary planning, multi‑tasking, and time‑management skills.
